2) I need help with my requisition.

Please select the issue from the following options

To start a requisition, navigate to the top-left corner of the screen, use the down arrow next to ‘Create’. A dropdown menu will appear. Click on Requisition to begin generating the desired position.

In order to continue to the next page or finish submitting the requisition for approval, you must complete all the red asterisked fields. (Reference the user manual for detail images of each step.)

Once the request for an approval has been sent, each individual on the list above will need to approve or deny the requisition in the order it is submitted. An email will be sent to the first approver. In the email, select ‘Click here’ for more details. This will load a new page to allow review of the position.
After the new page had loaded, review the request. Please provide a comment in the bottom left-hand corner before accepting or rejecting the request. If accepted, it will continue onto the next person in line. If rejected, the hiring manager will be notified with the comments as to why.
Note: If the same approver is listed more than once (e.g. Direct and In-Direct Supervisor), that approver will need to follow the previous step multiple times.

To find the status of the requisition, scroll to the bottom left-hand corner box of the dashboard (My Requisition & Job Posting Chart). Select the ‘Quick Snapshot of all Your Requisition & Statuses (blue).
This selection will populate a new page with details about all your requisitions.
Use the drop-down arrows (on the left) to view the list of positions according to the category. Clicking into the requisition ID number (yellow arrow) will bring you to the position request page as seen in step 8 of creating a requisition.

3) I need help with the approval process.

Please select from the following list:

In the center of the screen, using the drop-down arrow, choose the type of posting [new, replacement (manager and above), or replacement (supervisor and below)]. The approval path will auto-populate, click ‘Save & Begin Approval’ at the top-right hand corner of the screen. If you click Save, your Requisition will stay in the Pending Approval status until you edit the Requisition for Approval.
Note: If you selected the wrong Approver List, you may click Clear List and make another selection. A Requisition will not route for Approval without an Approver List selected and will stay in the Pending Approval status.
After click Save & Begin Approval, you will instantly see the status of the Approver List.

5) I need help reviewing a candidate.

Please select the issue from the following list:

As candidates apply, the recruiter will send the applicants to the hiring manager. There are two location to locate find candidate information.
1. On the top left-hand corner of the dashboard, in the first box titled Job Summary with Position Count, third down you will find current candidate(s) requiring review. You may click the number or the description to populate the list of candidates.
2. On the middle left-hand corner of the dashboard (My Actions: Candidate’s Recruiting Workflow Status), you may choose any of the items as long as they have a number. You may click next to the number or the description to populate the list of candidates.

click on the individuals name to review the resume/experience.
Use the tabs at the top the screen to navigate through the candidate’s details.

4) I need help scheduling an interview, rejecting a candidate, or cannot find them after requesting an interview.

Please select an issue from the following list:

On the center left, you can reject the candidate or advance them to the interview stage (see manual for image).
After choosing to advance the candidate to an interview, you will need to choose the format for the interview.
a) Video Interview: You will need to create a WebEx meeting and insert the link in the designated criteria.
b) Phone Screen & On-site Interview: Update the date and time.
c) Custom Interview: Complete all fields.
Note: Clicking ‘send’ (bottom-left, blue) will send the invitation to interview to the applicant.

After reviewing the candidate’s information, you have the ability to move this applicant directly into a rejected status (See manual for image). Select the reason why from the drop-down arrow. A new window will appear. From this selection, an email will be sent to the candidate. Click SAVE when finished

The interview status module is based on the hiring managers answer not the interviewees response. You will need to accept/decline or put the interview as tentative from the email confirmation that was sent to you. Your response will move the candidate into the proper field.

6) I need help requesting an offer be sent.

Once you have decided on the candidate you would like to extend an offer. Scroll to Open Job Candidate’s List. Click ‘List of Candidates by Open Job’.
You will be brought to a screen with a list of positions. Use the drop-down arrows on the left to open up the position. Click into the individual who you would like to extend an offer.
Once the next screen populates, click the down arrow next to status in the center of the screen.
The candidate’s name will populate. Check the box next to the individual’s name then click Advance at the bottom of the screen. Finally, click ‘Request Offer’.
Note: A status update should be made within 24 hours. (rejections, request offer, or interview/review completed)

7) I am unable to find a candidate in the Offer Workflow.

Starting my scrolling to the bottom right-hand corner of your dashboard. You will see a graph labeled My Requisitions & Job Posting Chart. In blue, click Quick Snapshot of all Your Requisitions and Statuses.
Once this page loads, you will be able to look for the requisition based on type. Use the arrows on the left-side of the options to open the different scenarios.
Click the requisition ID number for the position you are hiring for, and use the drop-down arrow in the center of the screen to see the list of the candidates that have applied.

8) How do I share a candidate's resume with another hiring manager?

While you are looking at the candidate's information. You will see a share icon (top-left about their name).
Clicking that icon will pull up a page to enter the email addresses to who you would like to send the candidate's resume.

9) Should iCIMS be used when promoting existing partners?
-
The answer is it depends. For most promotions, positions should be posted especially if there is an extension of scope or new role, therefore we would be inviting them to apply. All internal partners will have access to an internal portal and they will be flagged as such.
